The Mountain West Outdoor Club, Inc. (“MWOC”) is a 501(c)7 tax-exempt, non-profit social club incorporated in the State of Idaho for the recreational and educational benefit of its members.
What information is collected
We, the MWOC, collect information you voluntarily provide, including your name, address, phone, email, emergency contact, and activity preferences. To be an active member, you must provide at least your first and last name and some means to communicate with you.
We also store dates (such as the date you joined and your renewal dates, latest date of login, etc.), your membership status, your payment history, and sent/received email logs.
When you pay your dues or make another payment (such as for an event) online on the MWOC website or with an emailed MWOC invoice, licensed software (Wild Apricot) collects your credit card information and transfers it to a payment processor (AffiniPay). Wild Apricot, and therefore MWOC, does not store your credit card information. AffiniPay advises Wild Apricot of the status of the transaction, and only the status (paid, not paid) is retained in your MWOC record.
Where information is collected from
All information is obtained from: 1) voluntary submission of your membership application or renewal form and changes you make online in your member profile, 2) your online payments through Wild Apricot/AffiniPay, as described in the section above, and 3) your interactions with the website, including sending emails.
Why information is collected
We collect your name, contact information, and activity preferences so that we can communicate with you about activities in which you may wish to participate. We collect the name and phone number of your emergency contact so your preferred responsible person may be contacted on your behalf in the case of an emergency, such as an accident or medical issue. Payment information is collected to provide you an online option for dues and other payments. Other transactional data, such as renewals, logins, and emailing, are collected to monitor and maintain the overall health and vibrancy of the club.
How information is collected
Information is collected online from the membership form on the website and any information you add directly to your profile on the MWOC website. Information you provide on paper membership forms is entered into your profile for you by a MWOC officer. Information you enter while paying online is collected but not stored by Wild Apricot but instead transferred to the payment processor AffiniPay.
Wild Apricot conducts its own tracking to, for example, monitor logins, email deliveries, and website page traffic. These processes are not controlled by the MWOC. More information about cookies used by Wild Apricot may be found here.
Who information is shared with or sold to
Active MWOC members may view other members’ names and contact information and emergency contacts by logging into the MWOC website with their username and password. Certain MWOC administrators (“Full Access”) may view all member information except passwords and payment details not stored in Wild Apricot.
When a member makes an online payment through Wild Apricot, credit/debit card information is shared with the third-party payment processor AffiniPay.
MWOC never sells member information and only shares that information the member provides for payment through Wild Apricot/AffiniPay. The general public cannot view any member directory information or records stored in Wild Apricot.
What rights users have over their data
Any member may remove his/her information (phone, address, etc.) from his/her MWOC profile, with the caveat that if all contact information is removed, the MWOC will be unable to provide any services to the member or communicate with the member.
Any member may forego sharing payment card data by paying membership dues or other costs such as event fees with cash or check in person or with a check mailed to the MWOC post office box.
